Tax Operations Specialist

Position Summary

The Tax Operations Specialist (TOS) is a key member of the TaxConnex Operations Services team, contributing significantly to the company's success. The TOS is responsible for engaging in compliance processes for internal accounts and serves as the first point of contact for resolving issues related to HQ, practitioners, or clients. This role requires the ability to handle a high volume of support tickets, diagnose issues, and guide users through step-by-step solutions. This role also manages a high volume of administrative tasks relating to the compliance process. Additionally, the TOS will maintain the Exemption Certificates system and create custom reports for client records.

Essential Functions

Compliance and Notice Management

  • Scan and upload notices and documents received from jurisdictions. 
  • Log notices into the appropriate client accounts and analyze trends. 
  • Manage sales compliance paper returns, including time-sensitive tax returns. 
  • Conduct monthly checks of paper returns for accurate matching before mailing. 
  • Deliver updated return packages to PaperHost promptly. 
  • Assist with data quality initiatives, including data audits. 
  • Perform additional duties or ad hoc projects as assigned by the manager.    

Exemption Certificate Management

  • Maintain records of client-specific exemption certificates, communicate with clients about certificate status, and review and validate submitted certificates. 

Documentation Management 

  • Maintain methods and procedures documentation to support the creation of a Support Playbook.

Position Requirements

  • High school diploma or equivalent; bachelor’s degree preferred. 
  • Previous administrative experience with proficiency in Microsoft Office, particularly Excel. 
  • Excellent verbal and written communication skills.  
  • Experience in sales and use tax is preferred but not required. 
  • This position is based in our Alpharetta office, with the possibility of hybrid work; candidates must be willing to commute to Alpharetta.
